Such a meet up can be useful, besides just putting faces and voices to a handle and avatar. If someone in a region was to do the footwork that goes along with it, I'm sure a larger event can be arranged. All sorts of things to see, do, learn.
With several people congregating from other cities, hotel rooms can be arranged at better rates. Although it may only be $5 off for severl rooms for a night, every little bit helps.
Restaurant reservations can be made in advance. Parties of 10 or more can often receive special rates. It may only be a couple bucks off, but again, every bit helps.
Bring seeds. Have a seed exchange table. spare envelopes can be handy
Documents and research papers are handy. Paper copy or on CD. This would be homework any attendant can perform. How about a presentation about peak oil, invite local officials, see if the Mayor is free that night.
If the people are close together, specific topics can be discussed, or at least put on the agenda:
-local laws
-local weather/climate change
-local resources
-forming/joining a buyers group
Field Tours may be practical. A member's home can be toured or used for the duration of such an event. Take a good, hands-on look at what they have done for preps. How they do things. Have a BBQ.
I live in north central Florida. A 3 hour drive would range from Tampa to Pensacola to deep into Georgia. There would be about 7 Million people in that range if my math is right.
